Program Director, Speaker Bureau Services

Health & Wellness Partners, LLC is currently looking to add a Program Director to our Speaker Bureau Services team. The Program Director will be responsible for the company’s Speaker Bureau, ensuring adherence to company and client compliance policies, and providing high customer service levels and accurate reporting. In addition, this candidate must become an expert on company and client requirements and processes, knowing the process stakeholders and leading the team, ensuring each step in the process is executed and information flows to everyone with responsibility for a process step. The Program Director is the point of contact for the client on all work and will manage a multilevel team of employees involved in speaker and peer-to-peer programs.

Specific responsibilities include:

  • Maintaining workflow efficiently in a fast-paced environment
  • Supervising the execution of administrative components for the Speaker Bureau, ensuring complete and timely completion of all tasks, including contracting
  • Understanding and ensuring complete and accurate execution of all Audience Accumulation documentation, either by delegating tasks to appropriate level program management staff or executing independently
  • Supervising and/or executing requirements related to managing and tracking program information, ensuring all actions are completed on time and on budget, and continually communicating with the project team to foster positive interactions and ultimately achieving desired program outcomes
  • Ensuring forms, standard emails, and miscellaneous pieces are created/updated as needed, identifying changes needed to existing meeting documents or new documents that need to be created
  • Preparing and conducting external and client status meetings, ensuring client requests for reports or data are fulfilled as required
  • Developing and managing detailed timelines
  • Supervising the program team and assigning tasks with clear deadlines
  • Collaborating with Meeting Planning staff, who are solely responsible for logistics related to speaker training meetings and peer-to-peer dinner meetings. This position does not manage logistics.
The ideal candidate will have strong project management skills with a background in Speaker Bureau management. In addition, we are looking for someone with:

  • Familiarity with medical terminology and pharmaceutical products
  • Knowledge of regulations and program implementation procedures
  • Experience in overseeing program managers and coordinators
  • Proficiency with the Microsoft® Office suite
  • Excellent communication skills
  • Ability to multitask and a high level of detail orientation
  • Ability to work independently with initiative
