Program Coordinator (Promotional Programs)

Health & Wellness Partners, LLC is currently looking to add a Program Coordinator to our team. This position is responsible for executing administrative and program-specific tasks and tracking program information and logistics, ensuring all tasks are completed on time.

Specific responsibilities include:

  • Satisfying audience accumulation documentation requirements, ensuring completeness and accuracy of all information. This includes Internet research related to participants, ensuring accuracy of participant data, initiating appropriate follow-up for missing information, and maintaining an up-to-date database for each program
  • Ensuring meeting materials are properly and completely developed and produced and arrive on-site on time
  • Executing post-program activities, ensuring complete and satisfactory closeout
  • Completing all administrative components, including monitoring receipt of signed contracts and identifying any omissions, ensuring the database is accurate, and monitoring honorarium payments, making updates as needed


We are looking for someone who has an excellent telephone demeanor and proficiency in Microsoft® Access, Excel, Word, and Outlook. The candidate must also be extremely detail oriented and able to multitask. Previous experience in program management, medical communications, or a medical advertising agency is a plus.
