Program Coordinator

Health & Wellness Partners, LLC is currently looking to add a Program Coordinator to our team. This position will provide hands-on support in executing speaker bureau programs.  

Specific responsibilities include:

  • Executing administrative and speaker bureau program-specific tasks and tracking program information and logistics, including:
    • Monitoring receipt of signed contracts and identifying omissions
    • Maintaining contracts and W-9 forms, updating as needed
    • Updating database for terminations and ensuring issuance of termination letters
    • Coordinating with the Postmeeting Team to identify action items from feedback forms and address issues
    • Providing access to slides via the portal to P2P meeting planners and speakers when needed
    • Reviewing the speaker bureau and honoraria tracker, identifying updates needed or omissions to be corrected
    • Maintaining the speaker network folder, ensuring current slides, components, and feedback forms are included
  • Supporting registration and monitoring data related to speaker bureau programs to assure completeness and accuracy
  • Ensuring forms, standard emails, and miscellaneous pieces are created/updated as needed

The qualified candidate will be detail oriented with 0-2 years of program management experience. Proficiency in Microsoft® Access, Excel, Word, and Outlook is required. In addition, we are looking for someone with an excellent telephone demeanor. Previous experience in medical communications or at a medical advertising agency is a plus.
