Editorial Operations Coordinator

We are currently looking to add an Editorial Operations Coordinator to our Editorial Services Team. This position will be responsible for overseeing tasks related to the development of HWP’s Speaker Bureau Programs.

Specific responsibilities include:

  • Collaborating with internal departments on the development of program materials
  • Developing knowledge of multiple client requirements for materials and becoming familiar with client tracking systems
  • Working with the Marketing Operations Team to secure project codes, prepare materials for submissions, change annotations, and provide other cleanup
  • Serving as a liaison with the client for back-and-forth versions of materials, resolving queries, and noting needed changes for editorial and creative teams
  • Participating in medical and legal review calls, taking notes, and downloading any comments from the appropriate client portal
  • Adhering to specific timelines and tracking status/progress for all materials, assuring team members are kept up-to-date at all times
  • Providing proofreading on assigned materials as requested

The ideal candidate will have a bachelor's degree in English, marketing, or communications and have excellent word processing and computer skills. This includes proficiency in Microsoft® Word, PowerPoint, Adobe Acrobat Professional, and Excel as well as a working knowledge of the American Medical Association (AMA) Manual of Style.

Other requirements include:

  • Ability to change topics and priorities rapidly
  • Excellent administrative, organizational, and communication skills
  • Excellent grammar and spelling
  • Excellent proofreading skills

Possessing knowledge of material tracking systems (such as Veeva Vault) is a plus, along with previous experience in a medical communication/medical advertising agency.
