Editorial Operations Coordinator

Health & Wellness Partners, LLC is currently looking to add an Operations Coordinator to our Editorial Services team. This candidate will be responsible for overseeing tasks related to the development of HWP’s Speaker Bureau programs. 

Specific responsibilities include:

  • Collaborating with internal departments on the development of program materials
  • Developing knowledge of multiple client requirements for materials and becoming familiar with client tracking systems
  • Working with Marketing Operations to secure project codes and prepare materials for submission, changing annotations and other cleanup
  • Serving as the liaison with the client for back-and-forth versions of materials, resolving queries and noting needed changes for the editorial and creative teams
  • Participating in medical and legal review calls, taking notes and downloading any comments from the appropriate client portal
  • Adhering to specific timelines and tracking status/progress for all materials, assuring team members are kept up-to-date at all times
  • Providing proofreading assistance on assigned materials as requested

The ideal candidate will have a bachelor's degree in English/Marketing/Communications with excellent word processing and computer skills, including proficiency in Microsoft® Word, PowerPoint, Adobe® Acrobat Professional, and Excel and working knowledge of the AMA Manual of Style.

Other requirements include:

  • Ability to work in a fast-paced, deadline-driven environment
  • Ability to change topics and priorities rapidly
  • Excellent administrative, organizational, and communication skills
  • Excellent grammar and spelling
  • Excellent proofreading skills
  • Knowledge of material tracking systems such as Veeva Vault is a plus along with previous experience in a medical communications/medical advertising agency
