Client Services Coordinator

Health and Wellness Partners (HWP) is currently looking to hire a Client Services Coordinator to help the Client Services (CS) team deliver strategic projects and programs that increase revenue/profitability growth. This position will work collaboratively with both the clients and HWP team to ensure the successful execution of programs and associated quality resources.

Specific responsibilities include: 

  • Developing knowledge of the pharmaceutical industry and the role of medical education within the industry by:
    • Becoming familiar with services provided by HWP, competitors, and other agencies (specializing in the health care profession, public relations, etc.) in the medical field
    • Researching market dynamics, scientific advances, and new paradigms for assigned brands
    • Developing scientific, clinical, and pharmaceutical knowledge
  • Understanding client needs and supporting opportunities for retention and growth of business by:
    • Studying and retaining brand knowledge to support the client relationship
    • Proactively pursuing information from the client to assist with program development
    • Actively participating in weekly status meetings by providing information/updates for reports pre-meeting, taking notes during the meeting, and seeking feedback on notes post meeting
    • Professionally communicating with the client and KOLs to secure relationships
    • Scheduling meetings for CS team members with internal team members (program directors, editors, and writers) and external client/client assistant as appropriate; ensure that all appropriate team members participate
  • Assuring successful live program execution by:
    • Researching potential invitees for meetings
    • Drafting project and program materials
    • Learning A/V on-site technology and requirements
    • Supporting on-site rehearsals for the client and faculty
    • Working closely with on-site team and the client
    • Listening and taking notes during debrief sessions with the client
  • Assuring successful enduring program execution by:
    • Observing KOL interactions
    • Listening in on medical/legal review while taking notes
    • Observing interactions with writers
The ideal candidate would demonstrate team player qualities in all aspects of performance.

In addition, we are looking for someone with:

  • Strong interpersonal skills
  • Excellent administrative and organizational skills
  • Proficiency in Microsoft® Office (Word, Excel, and PowerPoint) as well as Adobe Acrobat
  • Keen Internet search skills
  • Ability to learn medical terminology and pharmaceutical products
